Role Profile
The Program Producer is responsible for successfully producing the Open House Weekend and other scheduled event programming, with a focus on program stakeholder management and content and large-scale event production. The role will work with the Program Manager and Program + Volunteer Coordinator, as required, and work with the Partnership + Communications Manager to develop program communications plans.
Program and stakeholder management, arts administration and operations are the core functions of the role. Excellent client-facing and internal communication skills, solid organisational and administration skills including attention to detail and the ability to multi-task and work to deadlines.
Key Responsibilities
Program Coordination + Stakeholder Management:
- Provide program leadership and have responsibility for the on-time execution and successful delivery of the Open House Melbourne Weekend and additional programs throughout the year as required;
- Develop, produce and collect all program content and event details required for programs including coordination of expression of interest callouts, content collection and coordination for all details required for physical and digital programming including for print, website, EDMs, media releases and social media;
- Work with the Program Manager to liaise and coordinate with the Building Council to recruit participating Open House Melbourne Weekend buildings and manage the process (including the EOI) to secure new and existing buildings for the Weekend;
- Be the primary contact for all Open House Melbourne Weekend buildings;
- Administer and keep up-to-date all building information held in the Open House Melbourne database;
- Support the Program + Volunteer Coordinator to coordinate the Volunteer Council throughout the year to recruit, train and allocate volunteers for the Weekend and other key events;
- Support the Communications + Partnership Manager and the Executive Director in event sponsorship delivery, fundraising and stakeholder management when required;
- Manage the design, development and production with the Communications + Partnership Manager of Open House Melbourne program collateral including printed and online material and social media and marketing collateral etc.
- Manage program stakeholder communications (email, phone and face-to-face) including but not limited to confirmations, call for content, and event specific information;
- Contribute to the production and delivery of post-event reporting as required;
- Ensure all program stakeholder information held in the Open House Melbourne database is kept up to date;
- Act as an official Open House Melbourne representative at events as and when required.
Program Production + Delivery
- Produce scheduled events on time, on budget and in a safe and responsible manner that meets all relevant standards;
- Manage the festival agreement process, work with the Open House Melbourne team to provide any details required in order to finalise the Collaborator obligations process and be the operational contact for all Open House Melbourne programs and buildings;
- Manage the central communications regarding logistics for the Weekend;
- Support the Open House Melbourne team in the planning and coordination of operational procedures including OH&S protocols, risk management and public safety protocols;
- Work with the Program + Volunteer Coordinator to oversee the operational logistics for all programs and events as part of the Weekend Festival including event plan development, ticketing, managing people and crowd control, safe bump-in and out etc.;
- Work with the Program + Volunteer Coordinator and associated contractors to oversee and support how each building will run in terms of required volunteers, logistics, tours, opening times, amenities etc. and ensure buildings provide a quality visitor experience;
- Oversee the operational and safe-event management of all off-site venues including partner venues, public and private spaces, program locations (such as water-based events), information hubs (Weekend specific) including required permits and OH&S planning;
- Work with the Program + Volunteer Coordinator to coordinate signage requirements and deployment, as required, for Weekend program activities
Qualifications and Experience
- Degree in Event Management, Arts Management, or a related discipline or lesser formal qualifications with work skills and relevant experience.
- Demonstrated experience in the planning, promotion and delivery of events and arts and cultural programs
- Excellent organisational and time management skills, with the ability to multitask and prioritise effectively
- Strong communication and interpersonal skills, with the ability to liaise with clients, vendors, and stakeholders
- Proficient in using project management software and tools including Airtable, Humanitix and Deputy
- Demonstrated problem-solving skills and the ability to think creatively to overcome challenges
