Production & Event Manager

ARTRAGE is looking for a Production and Event Manager to plan and execute the FRINGE WORLD Festival, Rooftop Movies and all other ARTRAGE programs.

ROLE OVERVIEW
The primary purpose of the Production and Event Manager is to plan and execute the FRINGE WORLD Festival, Rooftop Movies and all other ARTRAGE programs or activations. The Production and Event Manager will bring experience, expertise, organisational skills, innovation and forward thinking to the ARTRAGE Production Department.
This role is responsible for the logistical and physical delivery of all annual events and must foster a collaborative and supportive environment for all staff. This requires research, budgeting, scheduling, and resourcing as well as maintaining and creating relationships with contractors and stakeholders.
Under the direction of the Head of Production and Operations, the Production and Event Manager is responsible for ensuring the highest quality delivery of all operational elements of ARTRAGE activations.
ROLE DUTIES
ORGANISATION AND PLANNING
- Work closely with the Production, Operations, Technical and Project Departments to schedule and ensure synchronization of all hires, purchases, contractors and infrastructure deliveries and collections across all ARTRAGE activities.
- Create and update site plans for all activations.
- Contribute to the creation of venue management plans and venue layouts with the Technical Department.
- Alongside the Facilities Coordinator, monitor and coordinate the build, purchases, and maintenance of all ARTRAGE infrastructure and activations.
- Ensure accurate inventories across all ARTRAGE Programs and Departments.
- Manage the creation and delivery of staff briefing documents, operational checklists, and reportage systems alongside other Department Managers and Production Coordinators.
- Manage staff training, recruitment, rosters, and inductions for the Production Department alongside Production Coordinators.
- Assist onsite staff when required, ensuring that incident reports, maintenance logs, site reports and schedule updates are completed and actioned during all event operations.
- Assist in ensuring all production, operations and compliance procedures are adhered to by all staff and contractors.
- Prepare comprehensive reports and contribute to debriefs post event or activation.
- Develop and maintain allocated design, build, and research documentation files.
- Manage the timeline and task delegation of all Production department duties.
- Create and uphold departmental procedures and training materials to ensure the sharing of institutional knowledge among team members.
OHS AND COMPLIANCE
Oversee the planning, development, and delivery of:
- All necessary approvals as required by government agencies and stakeholders ensuring compliance with current legislation including, but not limited to, Liquor Licensing, Event Approvals, Development and Planning Approvals, Building Compliance and Approvals, Food Hygiene and Public Health Compliance.
- Manage positive relations and ongoing communications with relevant stakeholder groups including, but not limited to, City of Perth, Department of Racing, Gaming and Liquor and/or Liquor Enforcement Unit, WA Police, Department of Fire and Emergency Services, and governing bodies.
- Manage and update Risk Management Plans and Emergency Procedures across all projects and provide training to staff alongside other Managers.
- Contribute to the review, development and ongoing improvement of health and safety requirements for ARTRAGE staff and contractors, including inductions and onboarding.
- Ensure working practices adhere to ARTRAGE Health & Safety Policies and Procedures and with broader Health & Safety regulations. Operational delivery must be always safe and in line with the applicable legislative and licensing requirements.
FINANCIAL MANAGEMENT
- Oversee the creation, management, and controls of the Production team’s departmental budgets, payment schedules and cashflow projections.
- Negotiate contracts, review service agreements, and manage vendor performance to achieve cost-effective and high-quality outcomes.
- Keep the Head of Production and Operations informed of any changes to budget, providing costings and seeking, where appropriate, authority for expenditure.
- Work alongside all Managers to guarantee efficient and cost-effective resource management.
- Process invoices in a timely manner and produce an accurate financial report at the close of each project.
LEADERSHIP AND MANAGEMENT
- Ensure a sound understanding of the Live Performance Award to lead on sourcing, vetting, recruiting, contracting, and training staff.
- Manage the performance of direct reports. Resolve performance issues, provide mentorship to facilitate development, and identify the skills and capacity requirements.
- Foster the development of positive and communicative working relationships across all delivery areas working on ARTRAGE events.
OTHER DUTIES
- Undertake any other duties assigned by the ARTRAGE Executive Team, which might reasonably be deemed to be within the scope of the role and having regard for the skills and qualifications relating to the role.
ROLE REQUIREMENTS
SKILLS & EXPERIENCE REQUIRED / SELECTION CRITERIA
- Strong interpersonal, verbal, and written communication skills.
- Ability to liaise, interact and communicate effectively and professionally with suppliers and stakeholders.
- Ability to work efficiently and calmly under pressure.
- Knowledge of festival-related infrastructure, equipment, and procedures.
- Material knowledge and experience, and ability in material calculations and construction techniques.
- Knowledge of compliance and legislative requirements.
- Excellent organisational and time management skills with demonstrated ability to prioritise tasks and meet tight deadlines.
- Excellent administrative skills and the ability to implement and maintain efficient records, budgets and management systems.
- Creative, resourceful, and positive attitude towards problem solving and experience with implementing improved processes.
- Knowledge of sustainable practices and resource utilisation.
- Experience in AutoCAD, Vectorworks, and other programs.
REQUIRED QUALIFICATIONS

- Senior First Aid
