 Position Summary

The Operations & Front of House Coordinator is responsible for the smooth day-to-day management of Artspace’s operations, facilities, Front of House, and venue hire at The Gunnery. The role ensures the efficient, safe, and financially sustainable running of the building, including oversight of utilities, insurance, WHS, subscriptions, IT systems, contractors, and front-of-house services. It also supports visitor experience, staff onboarding, and event delivery, while contributing to compliance, reporting, and organisational governance. Working closely with the General Manager and Executive Director, the Operations & Front of House Coordinator plays a key role in ensuring that Artspace operates to the highest professional standards, providing a safe, welcoming, and well-maintained environment for staff, artists, visitors, and partners.

Key Accountabilities

  • Front of House & Visitor Experience
    • Open and close the gallery, ensuring spaces are prepared and presented to a high standard.
    • Ensure artworks and equipment are operational and powered on/off daily in line with gallery opening hours.
    • Provide a professional and welcoming presence for all visitors, delivering exceptional customer service.
    • Supervise, roster, and train casual FOH staff, including managing timesheets and payroll.
    • Monitor galleries daily to ensure artworks are secure and public amenities are clean, safe, and functional.
    • Maintain accurate visitor records, feedback, and attendance data for reporting.
    • Ensure compliance with WHS obligations, maintaining incident and accident logs.
    • Assist with evacuation procedures and emergency preparedness.
  • Operations & Facilities Coordination
    • Oversee all building utilities, insurance, safety, maintenance, and compliance requirements for The Gunnery.
    • Manage and maintain subscriptions for key operational services (IT, telecoms, software, security, etc.).
    • Ensure the security and safety of the building.
    • Act as Chief Warden, responsible for emergency procedures and drills.
    • Support staff with IT navigation, system access, and facilities troubleshooting.
    • Support staff onboarding, including email setup, systems access, and workspace preparation.
    • Oversee systems management for IT and building operations.
    • Manage contractors (cleaning, security, lift engineers, fire services, venue hire, etc.), ensuring compliance and cost-effectiveness.
    • Maintain, alongside the General Manager, risk registers, insurance documents, and incident reports in line with WHS obligations.
    • Ensure front-of-house operations are professional, welcoming, and aligned with Artspace’s values.
    • Coordinate venue hire logistics, including rostering, bump-in, and bump-out.
  • Financial & Reporting
    • Monitor and track budgets and subscriptions related to facilities, venue hire, and building operations, ensuring accurate reconciliation with the internal Accountant.
    • Provide timely reports to the Executive and to internal and external stakeholders.
    • Contribute to Board papers, financial reports, and annual audits.
  • Governance & Compliance
    • Support the Executive and General Manager in ensuring contracts, agreements, and policies are current and compliant.
    • Contribute to preparation of Board and Subcommittee papers and annual reporting.
    • Ensure all agreements and contracts are stored on the server to maintain compliance and institutional memory.
    • Maintain the Front of House intranet and Artspace User Guide with updated materials and content.
  • General & Team Contribution
    • Liaise with FOH and staff teams to ensure smooth delivery of donor and venue hire events.
    • Maintain and circulate staff action items related to operations, FOH, and venue hire.
    • Support staff inductions with training on facilities, IT systems, WHS, and donor engagement.
    • Undertake other duties as directed by the Executive Director.

    Success in the role will be measured by

    • Compliance: Zero major breaches in WHS, insurance, or building security.
    • Financial Reporting: Accurate, timely reporting across all areas of responsibility.
    • Operational Efficiency: Effective contractor oversight, cost management, and smooth delivery of facilities/IT operations.

    Selection Criteria

    • Relevant tertiary qualifications in Arts Management, Business Administration, or a related field.
    • Demonstrated skills in facilities and operations coordination, including WHS and contractor oversight.
    • Strong financial literacy with experience in budget development, tracking, and reporting.
    • Excellent written and verbal communication skills, including contractor correspondence and report preparation.
    • High-level organisational skills with the ability to manage competing priorities.
    • Proficiency in Microsoft Office, CRM/databases (e.g. Salesforce), and digital communications tools.
    • Strong interpersonal skills with the ability to work collaboratively with staff, contractors, and stakeholders.

    Special Requirements

    • After-hours and weekend work required during events, exhibition openings, and venue hire bookings.
    • Physical requirements consistent with facilities oversight and event support (e.g. WHS walk-throughs, occasional equipment handling).
    • Hold or be willing to obtain First Aid training (First Aid qualification desirable).
    • Responsible Service of Alcohol (RSA) certification desirable.
