ArtsNational, is a not-for-profit, volunteer-led, national organisation. Its 36 member Societies, with more than 5,500 members across Australia, provide superbly illustrated, informative and entertaining talks, delivered by internationally recognised experts on diverse arts-related topics. Societies also support local Young Arts activities and the conservation of Australia’s cultural heritage.

Position Summary

Reporting to the General Manager (GM), the Executive Assistant provides comprehensive administrative, operational, and technical support to the National Executive Committee (EC), GM and Societies. The position is casual and the hours of work will fluctuate week-to-week depending on business needs. The Executive Assistant will primarily work remotely from home, but is based in Sydney and will, at times, be required to perform duties in-person.

Key Responsibilities• Provide administrative support to the EC, GM and Societies, including coordinating online meetings and maintaining records, calendars, directories, and databases for the Association.• Format and distribute national e-newsletters, liaise with Society Chairs, and manage inbox enquiries.• Administer the ArtsNational Microsoft 365 environment, including managing user accounts and permissions, overseeing smooth operations of Office 365 services, assisting users, and liaising with the IT provider as needed.• Manage content for the ArtsNational website and liaise with Societies to ensure content is up-to-date and correct.• Assist with the organisation of the annual March conference in Sydney, including distributing information to delegates, preparing administrative meeting elements, and attending to support the running of the conference.

Key Selection Criteria

Essential• Extensive experience in an executive or administrative support role.• Excellent organisation and coordination skills.• Strong written and verbal communication and liaison skills, with a high level of attention to detail.• Experience in administering online and in-person events.• Ability to work independently, manage multiple priorities, and meet deadlines.• Advanced proficiency and experience in administering MS Office, SharePoint, websites and other databases, digital platforms and web content.• Ability to solve problems, exercise good judgment, and work with discretion.

Desirable• Experience in working with volunteers.

Eligibility

The successful applicant:• must be an Australian citizen or permanent resident,• be prepared to undergo ID Verification Checks, and• be prepared to undergo Police records/criminal history check.

Employment Details• Casual role. Hours of work will range between 2 and 38 per week at different periods through the year, with an expectation that weeks where major events take place will require more time to be worked. The position is Sydney-based, mainly working from home with some in-person duties.• Variable working hours, with peak periods in March, July and September and minimal work hours in December and January. Hours are typically not less than 40 hours per month.• Remuneration: In accordance with the Clerks Private Sector Award 2020 including the casual loading.• Must have access to a sophisticated and discrete home office.
