General Requirements

The Education & Ensemble Tours Senior Manager will play a key role at Hayllar Music Tours. They will work closely with the Company Director to lead the Education & Ensemble Tours Department, liaising with schools, choirs and orchestras to create proposals and to plan exciting and inspirational tours.

They will supervise the roles of Education & Ensemble Tours Manager and Education & Ensemble Tours Coordinator. The position will report to the Company Director.

Duties & Responsibilities:

Education & ensemble tour management including:

  • Developing, implementing and continually improving policies and procedures to ensure the successful, efficient delivery of school, choir and orchestra tours.
  • Acting as the primary point of contact for schools, choirs and orchestras, leading the creation of bespoke tour proposals.
  • Creating tour proposals and budgets including sourcing quotes for hotels, transport (flights, trains, coaches, boats), restaurants, musical instruments, local guides and sightseeing visits; and liaising with concert venues, festivals, orchestras, choirs and artists to arrange exciting performance and workshop opportunities.
  • Overseeing the confirmation of all tour arrangements made by the Education & Ensemble Tours Manager and Coordinator.
  • Overseeing the systems and procedures used by the Education & Ensemble Tours Department ensuring these are the most efficient systems for delivering exceptional tours.
  • Conducting market research to identify new opportunities for school, choir and orchestra tours.
  • Engaging and contracting freelance Tour Managers as required.

Tour planning and tour management including:

  • Researching, sourcing quotes and booking hotels, transport (flights, trains, coaches, boats), restaurants, musical instruments, local guides and sightseeing visits (within budget) for school, choir and orchestra tours.
  • Reviewing, negotiating and signing supplier contracts, including hotels, airlines, coaches and venues.
  • Liaising with venues, festivals, orchestras and choirs to confirm concert and workshop arrangements.
  • Assisting with marketing and publicity for tour concerts including liaising with box offices and venues to put concerts onsale.
  • Preparing, negotiating and finalising contracts with schools, choirs and orchestras.
  • Preparing and editing tour itineraries and tour booklets, including reading lists, background information and reference material.
  • Maintaining, overseeing and signing off on actuals and contributing to future budget preparation.
  • Arranging visas where necessary.
  • Attending meetings and information evenings with schools, choirs and orchestras.
  • Travelling on tours, both domestically and internationally, as Tour Manager.
  • Occasionally prospecting tour-related opportunities, such as concert venues, festivals and hotels.

General tasks:

  • Maintaining the database (Zoho) and project management system (Monday.com).
  • Other duties as required.

Qualifications and experience:

  • Excellent spoken and written English.
  • Relevant tertiary qualification in music or music education (or equivalent industry experience).
  • Experience in tour management, including planning, coordination and execution.
  • Experience working across production, technical and staging aspects of classical music performances.
  • Experience with CRM systems such as Zoho.
  • Experience with GDS systems such as Amadeus.
  • Experience with project management systems such as Monday.com.
  • High level of computer literacy.
  • Proven ability to manage multiple concurrent timelines and deadlines with strong attention to detail.
