Office & Communications Coordinator

Contemporary Asian Australian Performance is looking for a details-oriented Office Communications Coordinator to join our small and dynamic team.

  • Work Type: 12-month fixed contract (0.6FTE) with option to extend

Contemporary Asian Australian Performance (CAAP) is the only professional arts company dedicated to making exceptional contemporary Asian Australian work for all audiences. We engender greater cultural diversity in Australian performing arts by producing cross art form theatrical works of the highest quality, in partnership with major festivals and flagship companies. CAAP leads in developing, nurturing and championing Asian Australian artists to take their place on main stages nationally and internationally. CAAP is a resident company at Carriageworks in Sydney.

SUMMARY OF POSITION  

This position plays a key role in our small and dynamic team working alongside CAAP’s Artistic Director, Executive Producer, and Associate Artist to deliver a program of national and international activities, from our office in Sydney.

The Office & Communications Coordinator has responsibility for digital communications, creating marketing collateral, developing engagement with our community, ensuring the smooth-running of our office and administrative systems and supporting project delivery.

To be successful in the role, you will have at least two years’ experience working in the arts sector, be adept at managing your workflow and balancing competing deadlines, have high-level communications skills, and a passion for the performing arts.

TASKS AND RESPONSIBILITIES

  • Manage day-to-day correspondence and operations of the CAAP office, including filing, printing, equipment, stationery, software procurement and updating, phone, email, internet, etc.
  • Liaise with external stakeholders and contractors, e.g. venue management, IT contractors, contract photographers, etc.
  • Maintain and improve administrative and record-keeping systems to ensure an efficient and smooth-running workplace.
  • Design marketing plans and materials (printed and digital collateral, reports, video trailers, etc.) to support company visibility, project delivery and touring, fundraising, grant applications and reporting.
  • Manage and create content for the company’s website, social media channels and EDMs; manage cross promotion; and track reach and engagement.
  • Develop CAAP’s Artist Directory and support users.
  • Assist project delivery of CAAP’s artistic activities, e.g. creating timelines, schedules, running meetings, liaising with artists and contractors, contracting, supporting rehearsals and creative developments.
  • Assist grant writing and acquittal, preparation for board meetings, and other duties as reasonably requested by the Executive Producer and/or Artistic Director.
  • Exercise excellent attention to detail, flexibility, prioritisation, and time management skills to manage workflow and meet deadlines.
  • Develop and maintain good relationships with artists, partner companies, donors, media, arts sector peers, and CAAP’s Board of Directors.

KEY SELECTION CRITERIA

Essential Skills

  • Minimum two years’ experience in an administrative or marketing/communications role within the arts sector or similar.
  • Demonstrated experience in content creation across Facebook, Instagram, Mailchimp, WordPress, and for other digital and print formats.
  • Excellent interpersonal, written, and verbal communication skills with the ability to communicate clearly and respectfully to internal and external collaborators and stakeholders. This includes cultural competency and an understanding of working to address inequities in day-to-day activities.
  • Ability to problem solve, a can-do attitude, and confidence working across multiple projects.
  • Ability to work flexible hours during peak periods of the event program.
  • Experience working effectively in a dynamic environment as part of a team and independently.
  • Proficiency with the Microsoft 365 suite and design programs (e.g. Canva or Adobe Creative suite including InDesign, Photoshop, Acrobat, Premiere, etc).

  • Current working knowledge of the performing arts sector in Sydney and/or Australia.
  • REMUNERATION

    $70,000 per annum (pro-rated 0.6 FTE) commensurate with experience, plus superannuation.
