Exhibitions Production Coordinator
We are seeking a dynamic Exhibition Production Coordinator to play a pivotal role in delivering an engaging and diverse program for the HOTA Gallery.

Are you passionate about the arts and committed to creating inclusive and inspiring cultural experiences? HOTA (Home of the Arts) is seeking a dynamic Exhibition Production Coordinator to play a pivotal role in delivering an engaging and diverse program for the HOTA Gallery.
This position involves assisting in the development, installation, and upkeep of exhibitions and displays. Working closely with the Exhibitions Manager, HOTA Gallery, the Exhibition Production Coordinator will contribute to the smooth execution of the gallery’s exhibition schedule and ensure the highest standards of presentation.

Key Responsibilities
- Assist the Exhibitions Manager and project leads by coordinating production bookings and the technical delivery of all exhibitions.
- Prepare technical briefing documents for internal production teams, including AV, Lighting and Rigging.
- Schedule, coordinate and lead installation and de-installation meetings with the Exhibitions and Collections teams, ensuring alignment on timelines, responsibilities and risk mitigation.
- Coordinate the preparation of exhibition spaces, special exhibitions, the placement of artworks in gallery public areas, and the maintenance of permanent displays.
- Develop procedures and manage HOTA Gallery WHS compliance relating to the installation and de-installation of exhibitions.
- Develop a strong understanding of exhibitions in development and their requirements, supporting early risk identification and ensuring technical issues are proactively identified and resolved.
- Coordinate demolition, construction and painting contractors across all project phases, ensuring compliance with WHS, BCA, engineering regulations and site requirements.
- Manage stakeholder engagement and contractor attendance, and facilitate coordination meetings to maintain alignment, progress and quality outcomes.
- Manage all exhibition and collection equipment, assets and resources, including tools, EWPs, lifters, AV equipment, lighting equipment, furniture and PPE.
- Supervise Exhibition Technicians and Collection Technicians during exhibition preparation and installation to ensure effective delivery.
- Interpret, coordinate and oversee schematic plans and technical drawings to support all phases of exhibition demolition, construction and painting, ensuring accuracy, efficiency and alignment with design intent.
- Assist with obtaining quotes, procuring goods and services, and managing orders in consultation with the Exhibitions Manager.
- Develop and maintain effective working relationships with internal and external stakeholders to support the successful delivery of exhibitions and projects.
- Adapt to changing priorities and operational demands while contributing to team and organisational objectives.
- Act ethically and with integrity at all times and model positive and productive workplace behaviours.
- Undertake other duties within the scope of the position as directed.
The HOTA Gallery is a 7-day operation and there will be a requirement to work evenings and some weekends in this role. You will be willing and able to be participate in the on-call roster. You may be required to be rostered outside of normal working hours (and you may be required to be called-back to work due to unforeseen, emergency, or urgent work after leaving the workplace).
Qualifications and Experience
- Relevant specialised technical skills in AV, Lighting and/or Fabrication.
- Demonstrated experience working within a gallery, museum or similar cultural institution.
- Contemporary knowledge of international museum standards and the gallery and museum sector.
- Demonstrated experience in the development, delivery and operation of exhibitions to international museum and art gallery standards.
- Experience in project coordination, including the ability to effectively plan projects and achieve desired outcomes.
- Demonstrated ability to identify gaps in processes, tasks and resources, and develop practical schedules and solutions to ensure projects are delivered on time and within budget.
- Demonstrated proficiency in lighting control systems (such as Casambi and Dynalite) and/or audiovisual systems is highly desirable.
- Current Police Check, or the ability to obtain one.
- Current driver’s licence (essential); manual licence desirable.
