Front of House Coordinator and Receptionist
Woodfordia is looking for an organised and calm, people-focused year-round Office Receptionist and Front of House Coordinator.

This role is based on-site
Contract: Full time (4 days a week pro rata increasing to 5 days per week from September to December).
Salary: $65,000 – $70,000 plus superannuation p.a.
About the Role
This dual-role position supports Woodfordia year-round as the Office Receptionist, providing front-facing administrative and customer service support. From September through December, the role expands to become Front of House Coordinator, a Festival department head responsible for leading key patron-facing services during the Woodford Folk Festival.
The role requires someone who is organised, calm under pressure, people-focused, and capable of shifting from steady office operations into a fast-paced Festival leadership environment.
The role is standard office hours year-round, with flexibility as required. Increased hours, including evenings and peak periods, from September to December. On-site work required during Festival build and event period during December, including Public Holidays.
This role is based on-site in Woodford, Queensland.
Key Responsibilities
Office Receptionist (Year-round)
The Office Receptionist is often the first point of contact for Woodfordia and plays a vital role in keeping daily operations running smoothly. The core tasks involve:
- Operating the office telephone system.
- General Office administrative duties.
- Assisting the Front of House Manager as directed.
Supporting delivery of other Woodfordia events and Site Hires is required by contributing to smooth Front of House operations, which may include:
- Coordinating check-in and pack-down processes and welcoming of camping guests and event participants.
- Supporting registrations and attendee administration.
Front of House Coordinator (September – December)
During the pre-festival and festival period, this role becomes a department head responsible for coordinating and leading multiple Front of House services.
- Recruit and coordinate volunteers using the volunteer management system.
- Liaise with Front of House Manager, Department Heads, and external providers to ensure smooth operations.
- Collaborate with internal departments and external vendors to coordinate logistics related to front of house operations, including signage, equipment, and staffing requirements.
- Ensure effective communication and coordination with other festival departments to streamline processes and resolve any operational issues.
- Promote a safe, inclusive, and welcoming environment for patrons, staff, and volunteers.
- Coordinate Front of House operations across the following four departments:
- Reception & Switchboard
- Glamping Tent Accommodation
- Transit Lounge & Coach Transport
- Accessibility Services

Work experience and skills
Essential:
- Experience with multi-tasking and managing competing attention demands.
- Efficient and fast delivery of tasks, whilst maintaining high attention to detail.
- Excellent oral and written communication skills.
- Experience with high volume business telephone systems, providing an excellent level of efficiency and skill as multiple calls are received and require proficient redirection during the course of the day.
- Excellent administration skills.
- Experience and proficient in the use of the Microsoft suite, including Outlook, Word and Excel.
- Demonstrated capacity to work well under pressure.
- Professional, approachable and appropriate manner, both on the phone and in person.
- Excellent ability to work with stakeholders.
- Good problem-solving abilities.
- Compliance with all workplace health & safety operations within the workplace.
- Ability to work in Australia without visa sponsorship now or into the future.
- Open drivers licence.
Desirable:
- Some knowledge of the Woodford Folk Festival.
- Some experience in the events industry.
