Position Title: Communications Coordinator
Reports to: Executive Director and General Manager
Works closely with: General Manager; Development Manager; Curatorial Team; Exhibitions & Programs Coordinator; Operations & Front of House Coordinator; Finance Advisor & External Accountant; corporate partners; and event partners
Hours: Monday to Friday, 9am–5pm, with additional hours required from time to time
Location: Sydney, NSW
Terms of Employment: Two-year contract, non-ongoing, subject to a six-month probationary review
Base Salary: $68,000 per annum plus superannuation
Start Date: Immediate

Position SummaryThe Communications Coordinator is a hands-on role responsible for the planning, delivery and oversight of all public-facing communications, marketing, editorial and design outputs across Artspace. Working closely with the Executive Director and General Manager, the role translates Artspace’s artistic vision, institutional priorities and program into clear, compelling and consistent communications across print, digital, social media and campaign platforms. The position works collaboratively across all departments, providing design production, campaign and media engagement to support exhibitions, studio programs, public programs, fundraising and organisational sustainability.
Key Accountabilities
Communications Strategy & Editorial Leadership
- Lead the development, implementation and evaluation of Artspace’s communications and marketing strategy in alignment with organisational priorities.
- Act as the editorial lead across the organisation, responsible for proofing, editing and approving all public-facing texts, including media releases and public statements, website copy and EDMs, social media captions and campaign messaging, and donor, partner and stakeholder communications.
- Ensure clarity, consistency, tone, accessibility and accuracy across all communications.
- Work closely with all departments to shape messaging that reflects artistic intent, institutional strategy and audience needs.
Campaigns, Marketing & Audience Development
- Design and deliver integrated marketing and communications campaigns for exhibitions, studio programs, public programs, venue hire and institutional initiatives.
- Develop original, creative content for social media, EDMs and communications that is grounded in Artspace’s day-to-day activity, including exhibitions, studio programs, public events, artist processes, behind-the-scenes production and institutional life.
- Develop tailored communications packages to support the needs of different departments, including Development and philanthropy.
- Contribute to audience development initiatives that grow reach, engagement and participation.
Design, Brand & Production
- Lead the in-house design and production of communications materials in line with the Artspace brand and style guide, including: exhibition pamphlets, brochures and print collateral, wall labels, vinyl text, signage and wayfinding, invitations, posters and event materials, digital assets for web, social media and campaigns.
- Maintain and oversee the consistent application of Artspace’s brand identity across all platforms.
- Liaise with printers, fabricators and suppliers to ensure high-quality, timely and cost-effective production.
Digital Platforms, Website & Social Media
- Oversee content planning, creation and updates for Artspace’s website.
- Manage the scheduling, publishing and optimisation of content across all social media platforms, website and digital channels.
- Create content that reflects the experimentation, ambition and diversity of Artspace’s artistic program.
- Ensure digital communications meet accessibility and best-practice standards.
Development, Fundraising & Donor Communications
- Work closely with the Development Manager to develop EDMs, donor packs and tailored communications for supporters and benefactors.
- Support venue hire initiatives through strategic communications and marketing that promote Artspace’s spaces and services to external partners and clientsProduce communications materials for donor cultivation and stewardship.
- Collaborate with the Executive and Development teams to deliver targeted communications for philanthropic audiences.
Media Relations, Publicity & Advocacy
- Develop and maintain relationships with journalists, editors, writers and publications.
- Proactively pitch exhibitions, artists and institutional stories to local and international media.
- Manage media lists, track coverage and prepare reports for the Executive Director.
- Coordinate interviews, previews, reviews and press visits.
- Support artists in navigating public communications and media engagement where required.
CRM, EDMs & Data Management
- Manage Artspace’s contact database and CRM, ensuring accuracy, segmentation and compliance.
- Plan and deliver all EDMs using Campaign Monitor or an equivalent platform.
- Work with the Executive Director and Development Manager to maintain donor, partner and stakeholder contact records.
- Ensure best-practice data governance and reporting.
Budget Management & Financial Accountability
- Hold delegated ownership of the Communications and Marketing budget, working in close partnership with the General Manager and Executive Director.
- Develop and manage annual communications budgets, including forecasting, tracking and variance reporting.
- Ensure communications, design, printing and campaign costs are delivered within approved budgets.
- Support communications inputs into grant budgets, funding applications and acquittals as required.
- Prepare regular communications and marketing reports for the Executive Director.
Key Performance Indicators (KPIs)
- Timely and high-quality delivery of all communications and marketing outputs.
- Consistency and clarity of editorial content across platforms.
- Growth in audience engagement and reach.
- Quality, relevance and volume of media coverage.
- Effectiveness of donor and development communications.
- Accurate and well-maintained CRM and contact databases.
- Delivery of communications activity within approved budgets.
General Responsibilities and Team Contribution
- Evening and weekend work required during exhibitions, events and campaigns.
- Demonstrated ability to work collaboratively and respectfully within a team, contributing to a positive, professional and inclusive working environment.

- Undertake other duties as directed by the Executive Director.
Selection Criteria
- Demonstrated experience in a communications, marketing or design role.
- Exceptional editorial, copy-editing and proofreading skills.
- Strong graphic design and production experience (print and digital).
- Proven experience managing campaigns, media relations and public communications.
- Experience working across departments and translating complex artistic ideas into public-facing content.
- Familiarity with CRM systems, EDM platforms and analytics.
