Client Services & Marketing Assistant

Hayllar Music Tours are looking for a Client Services & Marketing Assistant to assist with guest arrangements and company marketing materials.

General Requirements

The Client Services & Marketing Assistant will play a key role at Hayllar Music Tours. They will work with the Client Services & Operations Manager to assist with arrangements for guests travelling on Hayllar Music Tours. They will also work with the Marketing Director to assist with general marketing and the production of tour documents and printed materials. The breakdown will be approximately 3 days of client services and 2 days of marketing each week.

The position is based at Hayllar Music Tours’ office in Sydney’s CBD and will report jointly to the Client Services & Operations Manager and Marketing Director.

Duties & Responsibilities:

Client relations including:

  • Front line response to telephone calls, emails and letters providing information on the full range of music tours available.
  • Processing bookings, payments and invoices.
  • Making additional bookings for clients including flights, hotel accommodation, car transfers and travel insurance.
  • Sending tour packs and any post-tour correspondence.
  • Ensuring Hayllar Music Tours’ database is being updated and continuing to streamline processes where required.
  • Using and updating the GDS (Amadeus) and database (Zoho).
  • Occasionally attending client events.

Marketing tasks including:

  • Assisting with the production of tour documents, including but not limited to the comprehensive pre-tour information packs that are distributed to guests travelling on the tours (produced in InDesign).
  • Producing and designing e-Newsletters, and maintaining subscriber lists, which are sent out via Mailchimp.
  • Carrying out basic re-sizing of promotional photos and procuring new stock images for use in promoting tours.
  • Producing promotional materials for advertising through social media and online platforms such as Facebook, Instagram and Google Ads.
  • Basic editing of the company website.

General tasks:

  • Occasionally assisting in the planning of tours.
  • Other duties as required.

 Qualifications and experience:

  • Ability to deliver positive and outstanding customer service.
  • Excellent spoken and written English.
  • A high level of computer literacy, including experience of InDesign and Photoshop.
  • Relevant tertiary qualification.
  • Knowledge of and/or genuine interest in the arts (classical music, opera, theatre and art).
  • Proven ability to work multiple timelines to deadlines with accurate attention to detail.

Salary: Dependent on experience
