APS6 Venue Services Coordinator

The Museum has an exciting opportunity for a professional to join the agency as an APS6 Venue Services Coordinator.

Role purpose

The Venue Services team is responsible for the administration of booked activities across the National Museum of Australia’s venues. The team manages the Museum’s booking platforms, Artifax and Bookings Canberra Excursion, to ensure all booking activity is captured and communicated to key stakeholders. The team also contributes to key Commercial projects and promotional activities as directed by the Head of Commercial and the Business Development Manager, as well as building and maintaining relationships with internal and industry stakeholders.

The Venue Services Coordinator is responsible for driving venue engagement strategies for the Museum across the broad and established network of event and commercial partners, as well as engaging with and extending this network.  As the key point of contact for the contracted catering provider, the Venue Services Coordinator will work collaboratively across the Museum business units to ensure that the caterer delivers services and products that meet Museum expectations. The role oversees the catering operations in both the retail offer (cafe) and events, monitoring revenue and ensuring compliance with contractual obligations.  This role, either leads and/or actively contributes to managing commercial initiatives, which could include various project deliverables across the unit, including, but not limited to tourism, venue hire, retail, and commercial activations that engage the caterer and enhance the visitor experience.

Key accountabilities

  • Coordinate the requirements for the Venue Services team, supporting delivery of venue services projects, catering contract management and venue hire.
  • Assist Business Development Manager in monitoring budgets, procurement activities, risk registers and contract administration, ensuring compliance with public sector and Museum frameworks.
  • Prepare and maintain high-quality project documentation, including meeting notes, schedules, procurement records and progress reports.
  • Work collaboratively across teams and with external partners – such as venue hire clients, Broadbean Catering and tourism/events/venues industry partners – to innovate and deliver initiatives that drive visitation, increase revenue and raise the profile of the NMA.
  • Coordinate all industry familiarisations, trade shows and industry briefings, ensuring these are effectively project managed and reported to the Business Development Manager.
  • Coordinate venue hire and catering services operations, including event coordination, bookings management, venue logistics and customer relationship management to ensure seamless event experiences for clients and visitors.
  • Coordinate the Venue Services databases, including data accuracy and integrity of stakeholder records in Bookings Canberra Excursions, Artifax, and the CCB portal and general oversight of data integrity, ensuring effective workflow and stakeholder engagement within the Commercial BU and across the NMA teams.
  • Support the Business Development Manager and Head of Commercial with all corporate partnership proposals, pipeline management and reporting in Tessitura.
  • Undertake project research and benchmarking, contribute to evaluation processes, and support innovation and continuous improvement across the BU’s operations.
  • Maintain accurate records and uphold strong administrative, procurement and documentation practices aligned with government and Museum requirements.
  • Represent the NMA at key industry events.
  • Manage the Venue Services team and work closely with the APS6 Tourism Partnerships Coordinator to ensure excellent communication and workflow for partnership opportunities.
