Through partnerships with organisations across the country, our year-round programming includes workshops, panels and performances that create powerful and distinctive spaces for Blak conversations. Our flagship literary festival remains the only festival in the country dedicated exclusively to First Nations literature, writers and storytellers.

About the Role
The Administration Manager is responsible for ensuring organisational systems, governance processes and internal operations are compliant and functioning effectively.
Working closely with the Artistic Director & CEO, the role oversees organisational administration, governance coordination, financial administration processes, reporting workflows and organisational recordkeeping. The position plays a central role in maintaining strong internal infrastructure, supporting regulatory and funding obligations, and ensuring organisational practices remain efficient and accountable, while being culturally safe.
As Blak & Bright is constitutionally a First Nations-led organisation, this is a designated role and is only open to Aboriginal and/or Torres Strait Islander applicants.

Key Responsibilities
Organisational Administration

Manage the day-to-day administrative functions of the organisation

Maintain organisational registers, contracts, policies and document control systems

Ensure administrative procedures remain current and fit for purpose

Coordinate organisational calendars, reporting schedules and key administrative timelines
Executive and Governance Support
-
Provide high-level administrative coordination support to the Artistic Director & CEO
-
Coordinate Board and subcommittee meetings including agenda preparation, papers, minutes and action tracking

Maintain governance records and support compliance reporting and regulatory submissions
Financial Administration
-
Work closely with the Finance Manager and Bookkeeper to oversee financial processes including invoicing, payroll documentation, accounts payable and receivable coordination and reconciliations

Assist with budget tracking, preparation of financial reporting documentation and funding acquittal administration

Maintain organised financial documentation aligned with audit and reporting requirements
Funding and Reporting Administration

Coordinate administrative components of grant applications, funding agreements and reporting schedules

Track reporting deadlines and ensure documentation is prepared and submitted on time

Maintain accurate funding, contract and partnership records
Cross-team Coordination

Provide administrative coordination and workflow support across organisational functions including programs, communications, literary development, partnerships and operations

Support other staff members through administration, scheduling coordination, reporting documentation and internal process support

Ensure internal project documentation, timelines and reporting requirements are centrally maintained, organised and accessible across the organisation
People and Workplace Administration

Coordinate recruitment administration, contracts, onboarding documentation and staff record systems

Maintain HR compliance documentation and organisational personnel files

Support workplace administration, internal communications coordination and organisational logistics
Selection Criteria
Essential
Aboriginal and/or Torres Strait Islander heritage
Demonstrated experience in organisational administration, governance coordination or business administration within the arts, cultural or not-for-profit sectors
Strong administrative systems management capability with excellent organisational skills and attention to detail
Experience supporting financial administration processes including budgeting support, invoicing and financial reporting coordination
Experience coordinating governance processes, Board reporting or compliance documentation
Strong written and verbal communication skills
Ability to manage multiple priorities, meet deadlines and work both independently and collaboratively
Desirable
Experience working within First Nations arts, literary or cultural organisations
Familiarity with grant administration, funding reporting or contract management processes
Proficiency in cloud-based systems and Microsoft Office Suite
