Administration and Finance Coordinator

Part-time Admin & Finance role supporting community-focused NFP. Flexible work, competitive pay, and salary packaging benefits available.

Position Title Administration and Finance Coordinator

Employment Type Maximum fixed term part-time, 3.5 days per week (26.25 hours) 0.7FTE with option to increase to 4 days per week (30 hours) 0.8FTE as required. This is a maximum fixed term contract covering a period of parental leave.

Renumeration $68,250 – $78,000 pro rata plus superannuation, remuneration package will be commensurate with experience and qualifications.

Location Hybrid-flexibility to work from home and our offices in Coburg North and other locations as required. Programs and project activity is located across the northern suburbs.  

Contract duration Monday, 4 August 2025 – Monday, 4 May 2026 with possibility for extension.

About the role We are seeking a dedicated and experienced Administration and Finance Coordinator to support Outer Urban Projects’ core team by delivering efficient administrative, operational, and financial support. This role ensures the smooth functioning of daily operations and provides key assistance in financial management and reporting.

What you’ll be doing

  • Supporting the Executive and Leadership team with administrative duties, including coordinating meetings, Board papers, and internal and external communication
  • Ensuring smooth office operations, including IT support, vehicle coordination, and insurance maintenance
  • Administering accounts payable/receivable, coordinating payroll, and maintaining accurate financial records
  • Providing project, program, and event coordination support
  • Assisting with contracts (DocuSign), workplace OH&S, and marketing activities

This role requires strong organisational skills and attention to detail, enabling effective support for the team’s goals.

What we’re looking for

  • Minimum 2 years’ experience in an administrative or finance coordination role, preferably within the non-profit or arts/community services sector
  • Strong organisational and time management skills with the ability to prioritise competing tasks
  • Proficiency in using Microsoft Office suite and MYOB or equivalent accounting software
  • Excellent communication and interpersonal skills to work collaboratively with the team
  • Attention to detail and a problem-solving mindset
  • Knowledge of basic accounting principles and procedures
  • Demonstrated cultural competency and experience working with structurally marginalised communities is highly valued. Where direct experience is limited, applicants should be able to reflect on their skill gaps and outline practical steps they would take to build their cultural knowledge and understanding

At the Board’s discretion and ongoing review, we currently offer:

  • reduced daily hours based on a pro-rata 5-day week (working 7.5 hours per day including half hour lunch break)
  • a paid Mental Health Day every 3 months
  • 3 additional paid annual leave days over the December holiday break
