In 2026, QMF will deliver more than 15 events for live audiences of over 15,000 people.

About the Opportunity

This is a hands-on touring and production coordination role, ideal for someone who thrives on logistics, scheduling, problem-solving and live event delivery.

Working closely with the GM Production & Delivery, you’ll support the planning and coordination of touring logistics, suppliers, contractors, schedules and documentation to ensure QLD Music Trails and events are delivered safely, smoothly and on time.

This is not a creative or producing role, it is a coordination and delivery role, suited to someone who enjoys bringing structure, clarity and follow-through to complex moving parts in a live event environment.

You’ll operate with autonomy within established frameworks and play a critical role in keeping touring parties, suppliers and production teams aligned and supported.

What You’ll Be Doing

Touring

  • Coordinate travel for artists, staff and contractors, including flights, accommodation and ground transport
  • Forecast and lock in group travel arrangements ahead of event launches
  • Prepare itineraries and resolve touring issues as they arise
  • Maintain relationships with accommodation, transport and freight providers
  • Track touring costs and support budget forecasting

 Production

  • Support developing and maintaining event schedules, timelines and budgets
  • Support risk assessments, Event Management Plans and emergency planning documentation
  • Maintain accurate records across project management, finance and admin systems
  • Assist with permits and compliance documentation
  • Provide onsite coordination and event admin support where required
  • Work collaboratively across departments to support smooth event delivery

Contractors & Suppliers

  • Support with technical briefs, supplier workbooks and event documentation
  • Prepare contracts, purchase orders and contractor paperwork as required

What Success Looks Like

  • Touring logistics are confirmed early, accurate and within budget
  • Suppliers and contractors are well-briefed, informed and supported
  • Event documentation is complete, current and reliable
  • Production team are operationally ready, with minimal last-minute issues
  • Stakeholders experience clear communication and dependable coordination

 About You

You’re organised, calm under pressure and highly dependable. You enjoy working behind the scenes to make complex live events run smoothly and take pride in getting the details right.

You bring:

  • Experience coordinating touring, production or live events (arts, music or festivals)
  • Strong organisational, scheduling and time-management skills
  • Confidence working with suppliers, contractors and diverse stakeholders
  • A practical, solutions-focused mindset
  • Clear written and verbal communication skills
  • Willingness to travel and work weekends during event delivery periods

Tools & Experience (Desirable)

  • Project or task management tools (e.g. Airtable)
  • Microsoft Office 365 (Teams, Word, Excel)
  • Experience working within WHS and live event compliance environments
