About the Volunteer position - Board Member Secretary
The Gertrude Projection Association are looking for a committed and organised administrator to join our board as secretary. As a not-for-profit association of volunteers we focus on using the collaborative creation and exhibition of projection art to invigorate the community. We facilitate and exhibit new media art projects, provide a curated platform for exhibition, develop and mentor local and community artists, present free outdoor art experiences and share our knowledge with other communities
Our core activities include presenting the annual Gertrude Street Projection Festival in Fitzroy and facilitating projection art projects and events that meet our aims. We have just established Australia's first Centre for Projection Art.

Growing out of the Gertrude Street Projection Festival the Association is now embarking on creating other projection events throughout Victoria and establishing a Centre for Projection Art. Being in this key position enables you to work with a talented group of people committed to forging strong relationships with our communities and creating engaging and vibrant places through art.
Manage the administrative tasks that the Gertrude Projection Association to comply with rules of incorporation. Support the organisation’s president and board in running the organisation efficiently and effectively and optimise the efficiency and effectiveness of committee meetings and the organisation overall.
Assist the President in organising board meetings and the Annual General Meeting
- Ensure meeting agendas are prepared and distributed
- Ensure meeting minutes are taken and distributed
- Maintain all documentation of the Association - board records and documents
- Facilitate board communications
In Accordance with our Rules
- Maintain the register of members and provide access to the register
- Maintain a record of board members
- Notify Consumer Affairs Victoria of any change in the official affairs of the organisation and its financial position.
- Upload an annual statement on the Consumer Affairs Victoria website.
- Ensure all legal requirements of incorporation are carried out
Experience and qualifications
Familiarity with the Gertrude Projection Association; the Gertrude St Projection Festival and the Centre for Projection Art and a capacity to use and follow the Secretaries Satchel; https://www.nfplaw.org.au/secretaryguide
Prior experience as Secretary of a Not for Profit is desirable but excellent organisational skills, minute taking and written and verbal communication is essential.
Capacity to use mail chimp; and social media channels such as Facebook with the computer literacy skills to organise on -line files.
Approximately 4 – 6 hours a month, with regular reporting to the President - 6 meetings throughout the year + the Annual General Meeting.
